UHN Foundation deeply appreciates the vital role you play in both this event and in advancing healthcare at UHN. Volunteers are at the heart of our operations, and your involvement is crucial to achieving our mission.

As a volunteer, you can expect:

  • To be treated with respect and appreciation.
  • A meaningful and fulfilling volunteer experience.
  • Fair and considerate treatment at all times.
  • A safe, healthy and supportive working environment.
  • The necessary training and resources to succeed in your role.
  • Recognition for your valuable contributions.
  • Reasonable breaks along with food and beverages (depending on the length of your shift). Breaks will be scheduled, but please notify us if you need extra time to rest.

In exchange, we ask that as a volunteer, you:

  • Approach your role with enthusiasm, honesty and an open mind.
  • Feel free to ask questions whenever necessary.
  • Respect the confidentiality of all sensitive information.
  • Be open to working collaboratively as part of a team.
  • Treat everyone with respect and maintain accountability.
  • Act as a representative of both UHN Foundation and the event.
  • Offer constructive and respectful feedback to your Team Leads and event organizers throughout the event.
  • Follow all event policies, guidelines and this Volunteer Code of Conduct.

Volunteer Code of Conduct:

Volunteers are expected to follow the guidelines outlined in this Code of Conduct and abide by all established rules and procedures.

  • Confidentiality: As a volunteer, you may be privy to confidential information related to the project, event or the organization. It is essential that you maintain the confidentiality of any information shared with you.

  • Photography and video:
    • Images or photos of you: Photos or videos may be taken during the event that may be used for marketing, such as brochures, pamphlets, websites or advertisements. If you prefer not to have your photo taken, please inform your Team Lead.

    • Taking photos or videos: If you take any photos or videos during the event, please do so with discretion. When posting content to social media, be mindful of others' privacy. Always ask for permission before photographing or recording other volunteers, staff or participants.

  • Social media: Volunteers are welcome to engage with the event’s social media accounts but should not represent the event or UHN Foundation in an official capacity. Volunteers are responsible for the content they share and may be held accountable for any posts that could be considered inappropriate, defamatory or harmful.

  • Drugs and alcohol: It is strictly prohibited to consume alcohol or drugs during your volunteer shift. The use, possession, or distribution of illegal substances is also forbidden. Violations of this policy will result in disciplinary action, which may include immediate termination of your volunteer assignment.

  • Smoke-free policy: This event is smoke-free, which includes the use of vape products. Smoking is not allowed anywhere within the event area. If you wish to smoke, please step away from the venue and refrain from wearing event-related clothing. Ensure you follow all local regulations and venue policies regarding smoking.

  • Tardiness or absence: If you are unable to attend your shift, will be late, or need to leave early, please let your Team Lead know as soon as possible to ensure proper coverage and coordination.

  • Safety and crowd management: Volunteers must assist in ensuring the safety of participants, particularly in busy areas or near traffic. Please be aware of your surroundings and direct participants away from any hazards, including obstacles or busy intersections. Follow any instructions from Event Coordinators or City Authorities regarding traffic control.

  • Health and physical limits: As this is a physically active event, please be mindful of your physical health. If at any point you feel unwell or unable to continue, please inform your Team Lead immediately. Volunteers should also encourage participants to take breaks as needed.

  • Emergency procedures: In the event of an emergency or if you need assistance, please immediately contact your Team Lead or the nearest medical station. Know the location of the nearest first-aid area or medical team, and report any incidents promptly.
